Employee Self Service

All employees can access the self service portal and will be able to view payslips, book onto training courses, claim expenses and update contact details.

We strongly recommend that on your first few visits into the system you have a quick check of your personal detail.

Trust casual staff  to claim payments for hours worked. Trust contract staff also have a new claim form to use in Employee Self Service.

If any information on the employee portal is incorrect and it relates to:

  • Hours
  • work pattern
  • cost centre
  • line manger
  • location
  • grade
  • job title
  • contract extension   

then you need to speak to your line manager and ask that they complete the online Employee Contract Change form.  The Employee-Contract-Change-Process within the HR and Payroll section of the intranet explains the process.

If you see any other errors you may be able to fix these yourself by editing the detail and then selecting save, otherwise: 

  • For login queries please use the forgotten password link in the first instance.  If after using the forgotten password link you are still unable to login please contact hrsystems@eastrenfrewshire.gov.uk quoting your employee/ payroll number (7 digits).
  • For queries relating to your contractual information held on the system please contact hrdirect@eastrenfrewshire.gov.uk quoting your employee/ payroll number (7 digits).
  • For pay specific queries please contact payroll@eastrenfrewshire.gov.uk  quoting your employee/ payroll number (7 digits).

 

Logging in and passwords

Employees can access the Employee Self Service (ESS) portal by clicking on the HR Employee Self Service Icon on the landing/ home page of the intranet or by going into the ERC Website and clicking on the option for ERC Employees - HR Self Service on the bottom banner of the front page.

Once selected you will be taken to the Employee Self Service login screen where you will need to input your username and password.

Your user name is: your 7 digit employee reference number

Password: for your first login it will be provided in an e mail, sent to you by HR Systems

On all future logins to ESS you will need to input your username and password, then you will input 3 characters from your memorable password.

Changing Passwords

There are 6 attempts to get this right before your account is locked. If you do not get it right after 5 attempts we recommend using the 'forgotten password' link to reset your password yourself.  Please note that if the account is locked, this link will not work.

Memorable Password

This additional level of security is to comply with Data Protection and ensure we protect your personal information. 

Both your password and memorable password should have 8 characters and as a security precaution we strongly recommend these are different and for your memorable password we recommend setting this one to something memorable to yourself whether that's a number/date/favourite colour etc. 

Please remember both your password and memorable password are case sensitive.
