Changes to annual leave from Monday 26 February
New system being introduced from Monday 26 February
From Monday 26 February, all employees will have their leave calculated in hours. This change is happening in line with a new leave system being introduced (for both annual leave and flexi, where applicable).
The way annual leave and public holiday entitlement will be displayed in contracts, policies and our HR system will change from days to hours. However, your leave entitlement is not changing. For example, if you are entitled to the equivalent of 28 days annual leave today you will still have this entitlement when we move to annual leave in hours.
Employee information (Etarmis users)
For those employees who currently use the Etarmis (flexi) system to log flexi-time and/or request leave, you will change to using HR Employee Self Service (ESS) to carry out these tasks from Monday 26 February. Flexi terminals or the desktop Flexi icon should not be used from this date (however, the Etarmis system will still be available for reference until the end of March).
It has not been possible to extract flexi and leave data from Etarmis in order to load it into the HR system. Therefore, when users log into ESS on Monday 26 February, flexi balances (if applicable) will show as zero hours and annual leave entitlements will not factor in any leave carried forward from 2023 or if leave has been borrowed from 2024.
Managers will begin to update flexi and annual leave balances for their staff following go live.
Employees can begin to input any leave taken or planned for 2024 into ESS from Monday 26 February.

Employee information (Non-Etarmis users)
If you currently request your leave using paper or email this won't change, but the way it will be approved and processed will change. Managers or identified business support staff will now record leave on the HR system on your behalf.
Manager information
There are one-off tasks that are required to be carried out for the purposes of go live. Specific communication and instructions for these have been distributed to Managers.
